Determining Your Level of Success
It's what you accomplish, not how long it takes, that determines your level of success.
Formula for Success: Working longer hours or harder does not spell success---working with maximum effectiveness does.
When your personal and business life are in balance, you experience less conflict and definitely less stress. This balance allows you to become more effective and get more work done in less time.
Carefully plan which activities you want to tackle during the time of day you are most efficient. Is it morning, afternoon, or evening? Keep track for at least one week to find your optimum time. These are your peak performance hours. Treat them as precious gemstones since working on "must do" projects during this time frame can give you great feelings of accomplishment.
If you find yourself working harder, it means one of several things: You don't like what you're doing; you didn't plan; or you don't have control of your time. There's nothing hard about your career if you've chosen something you love.
If you find yourself working longer, you need to look at how organized you are, whether you know how to delegate, and if you procrastinate. Longer is not better.
Making Your Meetings Work For You
Most people think of meetings as time-wasters---and with good reason. Too, too many business meetings are boring, mindless, unfocused...and profoundly ineffective. Instead of helping people come up with useful ideas, make decisions, set priorities or agree on changes, meeting often trap participants in endless discussions that lead nowhere.
But it doesn't have to be this way. Your company can have meeting that serve as powerful and innovative tools.
Key to the approach is leadership and focus. Each meeting must have a facilitator to bring focus. This person is not necessarily the meeting leader. Meetings which have structure and focus bring about creative and productive outcomes. Here's how...
Do advance planning. It's not enough to simply list a few discussion items on an agenda. Someone, either the meeting leader or facilitator, must prepare a detailed agenda covering every question and topic he/she whishes to cover and assign specific time limits to each topic.
Challenge the overall purpose for every item before including it on the agenda. "Tax report" is not good enough. "Decide how to improve the tax report" is better, because it is clearer and more specific.
Estimate the time requirements for each issue or agenda item. Only by breaking down agenda items into their smallest subsets will you be able to accurately estimate the meeting time. Try to imagine how the discussion will take place, and leave some room for flexibility. Accept that timing errors are inevitable.
Anticipate the handouts and other visual aids. Consider what will be needed for each agenda item.
Decide who should present each issue or agenda item. The meeting facilitator, or meeting leader, is not always the right person to guide the discussion.
Prepare two versions of the agenda. One general version is for the participants and the other, much more detailed one, is for the meeting leader.
Obviously, planning for the meeting will take more time than the meeting itself, but the more detail you put into advance planning, the less likely it is that the meeting will get bogged down, and the more likely your meetings will show positive results.
Never doubt that a small group of thoughtful committed people can change the world. Indeed, it's the only thing that ever has. --Bill Gates
Start your day right by planning to start each day with a quick success. Examples: Leave an easy task unfinished the day before, then complete it when you come in...schedule a meeting you know will turn out well for first thing in the morning. What this means to you: You get a jump start on your day---one which gives you momentum to carry through to other tasks.
Be a better negotiator. When you are about to make a major concession to get a tough negotiation moving, make the concession slowly. Aim: To make the other side appreciate it. A big concession can cause the other side to expect it will be able to get more. Giving up only a small amount at a time reduced the other side's expectations and causes it to value what it does get. And spacing concessions out over time makes the other side wonder if demanding more will be worthwhile.
The 90/90 Rule: People form 90% of their opinion about you within 90 seconds of your first meeting. To make this work for you: Stand up straight. Keep your palms visible. Make eye contact with others.
Slowing down. Ways to modify that dangerous Type A behavior: Walk and talk more slowly. Reduce deadline pressure by pacing your days more evenly. Stop trying to do more than one thing at a time. Don't interrupt other people in mid speech. Begin driving in the slow lane. Simply sit and listen to music you like while doing nothing else.
Alternative to assertiveness. Some people succeed in business without needing to dominate co-workers. They emphasize friendliness and support for others---and can be especially valuable in many modern workplace environments, particularly teams. To make this work for you: Keep an eye out for others who repeatedly succeed without needing to perform pow4r plays. Find out how they operate. Learn their team behavior. They often make better managers than people who are so driven by the need for power that they neglect alliances at work and make numerous enemies.
Build in thinking time to avoid being pushed into decisions while negotiating. To make this work better for you: Get the other side to present its position just before breaking for the day---giving you all night to prepare a response. Other techniques: Arrange to get an important surprise visitor or phone call...go to the bathroom...get hungry or thirsty...change a member of the team...discover that you do not have the backup information needed to prove a point...load the other party down with documents.
